This privacy policy relates to your use of our website and electronic communications and applies to any Surpass Assessment website which includes a link to this privacy policy, including the:

Personal data is collected about you whenever you access our websites, register with us for events and conferences, contact us, send us feedback, complete forms on our website, take part in customer surveys and submit reviews to or via our website.

Personal data is collected either directly (for example when you register with us, contact us, purchase Surpass products or services from us, complete forms or submit reviews on or via our website) or indirectly (for example where you are browsing our website through the use of ‘cookies’).

In general, the sorts of data that we can acquire, depending upon the circumstances, include: contact information (including name, email address and job title), marketing preferences, browsing and device usage information.

We may use this personal data for internal business purposes including maintaining, reporting purposes and improving our services and products.

We do not knowingly collect or use personal information relating to children. We do not market our products and services to children.

The legal basis of our processing of your personal data your consent and for our legitimate interests (marketing communications, conducting surveys for continuous improvement and marketing purposes, responding to your queries, registrations for Surpass Certification tests); to perform a contract with you (responding to your queries, sharing service related knowhow and updates, registrations for Surpass Certification tests)

When you sign up to schedule a Surpass Certification test through the Surpass Help site, your personal data is processed by Zapier Inc and Google (Google Sheets). Zapier Inc is a US company that operates cloud services. Zapier Inc’s privacy policy can be read here and Google’s privacy policy can be read here.

We use Hubspot to send our marketing communications. Hubspot is a US company that has an appropriate safeguard mechanism in place for personal data processing which means that Hubspot is obliged to protect Surpass Assessment marketing information and use it only on our instructions.

We will put in place appropriate security measures to protect your personal data from unlawful or unauthorised processing and accidental loss, destruction or damage. We ensure that all third party providers that we use have in place contracts for the protection of your contact information that oblige them to protect your contact information and use it only on Surpass Assessment’s instructions. Where our third party providers are US companies, we ensure that they have an appropriate safeguard mechanism in place for personal data processing so that they are obliged to protect individuals’ contact information and use it only on our instructions.

We share marketing and contact information that we collect with our group companies for the purpose of making decisions about marketing strategy and lead generation. Where we share personal data with our US subsidiary, Surpass Assessment Inc, we have in place appropriate safeguards that obliges our US subsidiary to protect your contact information and use it only on our instructions.

Our retention period for contact information is determined in the following way: for anyone who is not a customer and who has not clicked on or responded to any marketing emails from us within a timeframe of 2 years, we will remove your contact information from our marketing subscriber list.

You have the right to have a copy of the personal data that we hold about you. In addition, you can ask us to rectify or reduce the amount of personal data that we hold about you, or can ask us to delete your personal data from our database. You can withdraw your consent to receive any marketing emails from us at any time. Where you wish to do this, please select “unsubscribe” from a recent marketing email. Alternatively you can email us at marketing@surpass.com.

You have the right to lodge a complaint with your local data protection authority, such as the Information Commissioner’s Office (the UK regulator), where you feel that we have misused or abused the treatment of your personal data.

You are not contractually obliged, or obliged by law, to provide any personal data to us. Where you do not provide your personal data to us, or withdraw your consent for us to use your personal data, we will not be able to send you information about Surpass Platform and Surpass Supporting Services, or information about Surpass Assessment related events.

We profile you in the following ways. We look at the sector that you work in, organisation’s name and the location and country where you work, with a view to us making contact with you more relevant. For example, if you are working in healthcare or financial services, we would try to tailor our newsletters and invitations that we send to you so that they are more likely to be of interest to you. If you are a customer and are using a particular version of our Surpass Platform, we also aim to tailor our communications with you so that you receive information about the Surpass version which is most relevant to you. If you are interested in conferences, we look at your past conference attendances with a view to trying to suggest other meetings that you might be interested in attending.
